What marketing pipelines actually do

Most marketing teams have 50–200 routine tasks that get done manually every week. New lead arrives → check CRM → enrich → route to SDR → notify Slack → log first-touch. Blog post publishes → tweet it → LinkedIn post → submit to IndexNow → ping subscribers. Form fills out → validate → send confirmation → add to drip → notify owner. Each task takes 30 seconds to 5 minutes, but the cumulative weekly cost is 10–40 hours of expensive human time.

Marketing pipelines automate these. The work doesn't disappear; it runs without human attention. The 10–40 hours redirect to strategy, creative, and the judgment work that compounds.

Marketing MIX, an international marketing studio with Ukrainian roots, headquartered in Ottawa and working across Canada, Ukraine, Germany, and France, has built marketing pipelines for SaaS, professional services, e-commerce, and education clients since 2022. We use n8n, Make, Zapier, and direct API integrations depending on what fits.

Pipelines we routinely build

Lead lifecycle

  • Inbound lead → enrichment → scoring → routing → SDR notification → first-touch tracking
  • MQL → SQL transition flows with hand-off automation
  • Closed-lost re-engagement on triggered events

Content distribution

  • Blog post publish → social cross-posting (LinkedIn, X, Threads) → IndexNow submission → email newsletter inclusion → internal Slack notification
  • Case study publish → ABM list enrichment → sales-collateral folder update

CRM hygiene

  • Lead deduplication
  • Field standardization (industry, company size, geography)
  • Periodic enrichment refreshes
  • Engagement-stage decay rules

Ad operations

  • Customer-list audience sync from CRM to Meta/Google/LinkedIn ad accounts
  • Conversion-event sync from server-side to ad platforms
  • Negative-keyword discovery from search query reports
  • Budget pacing alerts

Analytics and reporting

  • GA4 + CRM data → daily/weekly automated reports to Slack / email
  • Anomaly detection on traffic and conversion metrics
  • Looker Studio dashboard refresh automation
  • AI-mention monitoring across ChatGPT, Claude, Perplexity

Customer support and feedback

  • Inbound support email triage and routing
  • NPS survey scheduling on customer-stage events
  • Review-request SMS/email triggered by purchase/visit events

Architecture principles

  • Idempotent — pipelines can re-run without producing duplicates.
  • Observable — every run logged, failures alerted.
  • Versioned — pipeline definitions in source control where the platform supports it.
  • Documented — runbook per pipeline including failure modes and recovery steps.
  • Owned — named human responsible for each pipeline, with escalation path.

Pricing

A clearly scoped audit starts at €1,800. Ongoing retainers start at €2,400 per month. Larger projects are quoted after scope is agreed.

What we don't do

  • Build pipelines on platforms the client's team can't maintain. Tool choice follows team capability.
  • Migrate clients to a specific platform for vendor-margin reasons. We don't take platform commissions.
  • Replace human judgment with autonomous pipeline decisions in customer-facing contexts.
